Class staff and the lead instructor

How-to

Put people from your team on a class as staff, name the lead instructor, hand the lead to someone else, and see where their names show up.

Before you startA scheduled class, and the people already on your team

What this is for. Class staff are the people from your team teaching a class: the lead instructor, any co-instructors, the divemasters helping in the water. The lead instructor is the one in charge, and their name is on the class everywhere it shows. Putting staff on the class means anyone who opens it knows who's teaching, and their names go into your calendar feed. Staff don't take seats.

Before you start

  • Staff come from your team. Anyone active in Settings › Users & Access can be on a class, including people who only use a PIN. Add someone there first if they're missing.
  • One lead instructor per class. Any number of other staff.
  • You may have named the lead already. Schedule a class has a Lead instructor box. Whoever you picked there is on the class's staff list as its lead. See Add a course and schedule a class.
  • A cancelled class takes no new staff. It says "This class is cancelled — no new staff assignments." The staff already on it stay listed.

Open the class

Go to Courses, tap the course's name, and tap the class under All classes. The Staff box is on the right, beside Students.

Courses › Class page › Staff
  1. Lead instructor. The lead's name, at the top of the class. Unassigned if there's no lead.
  2. Staff. Everyone working this class, the lead first.
  3. Add staff. Puts someone on the class. Step 2.

Add a staff member

Tap Add staff. In the box:

  1. Staff member. Pick the person. Instructors and divemasters come first in the list, each with their role in your shop, like "Sam Ortiz — Instructor".
  2. Role. It starts on Lead instructor if the class has no lead yet, or Co-instructor if it has. The roles are Lead instructor, Co-instructor, Assistant instructor, Divemaster, Observer and Student in training.
  3. Tap Add staff.
The Add staff box: Staff member set to Jamie Cole — Front Desk, Role set to Divemaster, Cancel and Add staff
Courses › Class page › Add staff
  1. Staff member. Everyone active on your team.
  2. Role. What they do on this class. It doesn't change their role in your shop.
  3. Add staff. Saves. Grey until you pick a person.

Repeat for each person. One person can be on a class twice in different roles, but not twice in the same role: OneDive says "Could not save. Check the staff member and role."

Name or change the lead instructor

If the class has no lead, add the person with the role Lead instructor.

To hand the lead to someone already on the class, tap the three dots on their row, then Make lead instructor. OneDive asks, for example, "Florida Dive Co Owner is the lead instructor. Make Sam Ortiz the lead instead?" Tap OK and you see Lead instructor updated.

The Staff box with Florida Dive Co Ow…, Lead instructor, and Sam Ortiz, Co-instructor, with the three dots open on Sam's row showing Edit, Make lead instructor and Remove in red
Courses › Class page › Staff row menu
  1. The three dots. This person's choices.
  2. Make lead instructor. Not on the lead's own row.
  3. Remove. Takes them off the class.

The old lead stays on the class as a Co-instructor. If they were already a Co-instructor on it too, they keep that one row.

You can also pick Lead instructor as the role when you add someone new. The box warns you first:

The Add staff box with Staff member Sam Ortiz — Instructor and Role Lead instructor, and under it in amber: Florida Dive Co Owner is the lead instructor. Choosing this makes Sam Ortiz the lead.
Courses › Class page › Add staff › Lead instructor
  1. Lead instructor. There can be only one, so the current lead moves aside.
  2. The warning. Names the current lead and who takes over when you tap Add staff.

Check the class

The top of the class says Lead instructor: and the new lead's name. The Staff box lists everyone with their role, the lead first.

On the course page, each class under All classes shows its lead too, or No lead instructor.

Change or remove someone

Tap the three dots on their row.

  • Edit opens Edit staff. Change the person or the role, and tap Save changes.
  • Remove asks you to check, like Remove Jamie Cole from this class? Tap OK. If you remove the lead, the class reads Lead instructor: Unassigned until you name another.

On a cancelled class you can still change someone's role or remove them, but not swap in a different person. Edit staff says "This class is cancelled — no new staff assignments. You can still change the role."

Where staff show up

  • The class page. The Staff box, and Lead instructor: at the top.
  • The course page. The lead's name on each class row.
  • Your calendar feed. Each class's notes in Google Calendar, Outlook or Apple Calendar list the staff with their roles, like "Jamie Cole (divemaster), Sam Ortiz (lead instructor)", then the lead again as "Instructor: Sam Ortiz". See Put your calendar in Google or Outlook.

Students don't see your staff. The course emails have no place for the instructor's name, and staff aren't on the class list.

Name the lead before you mark results. When you mark a student Passed or Failed, OneDive keeps the class's lead instructor with that result. Change the lead first if someone else taught the class.

What staff can see

OneDive doesn't send staff a message when you put them on a class. Instructors, divemasters and other staff don't see the Courses tab, so tell them yourself, or share your calendar feed with them so the week's classes and staff are in their own calendar. Anyone who can open Courses sees the staff on each class.
