What this is for. The manifest is your boat list. Everything on the day happens on it: who turned up, who didn't, who paid for a friend, and what to do when the sea says no.

Open the slot's manifest

Go to Trips, choose Manage trip, and tap the day under All departures. The Manifest lists every seat on that slot.

Manifest, 3 of 12 booked, 1 checked in: Sam Okafor with no waiver and Sign here, Jordan Lee marked No-show, and Casey Morgan, name only, checked in at 8:22 AM
Trip › Departure › Manifest
  1. Sign here. No waiver yet. Step 3.
  2. No-show. They didn't come. Step 4.
  3. Checked in. They are on the boat, with the time.
  4. Name only. A seat you named at the gate. Step 2.
  5. Close slot. Cancels the whole slot and refunds everyone. Step 6.
  6. Message everyone. Writes to the divers on this slot. Step 5.

Put a name on a seat nobody claimed

A seat that says Link sent, not claimed was paid for by someone in the group, but its diver never opened the link. Ask their name at the boat and choose Name and sign here.

Who is in this seat? Paid by Sam Okafor. A name is enough to check them in. Name Casey Morgan, Email optional, Not now and Save name
Manifest › Name and sign here
  1. Name. All you need to check them in.
  2. Email. Optional. With one they get a free OneDive account, a link to their seat, and can sign the waiver.
  3. Save name. Puts them on the list. Not now leaves the seat as it is.

Check them in

When a diver is at the boat, choose Check in on their row. Check in marks them as there, checks out any rental gear they booked, and logs the dive to their OneDive logbook. Made a mistake? Undo check-in is in the three dots.

A diver who still owes a waiver shows Sign here instead. It opens your waiver from SmartWaiver for them to sign on the spot.

Says SmartWaiver isn't connected? Connect it in Settings › Integrations. Until you do, the three dots still have Check in, for a diver who signed your paper waiver.

Mark a no-show

Someone didn't turn up? Open the three dots on their row and choose Mark no-show. The seat stays paid and nothing is refunded. Undo no-show is in the same menu if they arrive late.

Move a booking or message the group

Move to another time in the three dots moves the whole booking, every seat on it, to another time on this trip.

Move Sam's booking: 3 seats, the price does not change, Sam and anyone who claimed a seat are emailed the new time. Sat Oct 17, Sun Oct 18 and Sat Oct 24 at 8:00 AM with seats open, Show two more weeks, Keep this time and Move to Sat 8:00 AM
Manifest › Move to another time
  1. The whole booking. Every seat moves together, at the same price. Everyone on it is emailed the new time.
  2. Show two more weeks. Times further out.
  3. Move. The button names the new time. Keep this time changes nothing.

Message everyone writes one email to the divers on the slot, like a new meeting time.

Message everyone on the manifest: template Trip update, subject Update on trip name, a message with blue fields, Insert buttons, and Nobody will receive this, 2 skipped, no consent 2
Manifest › Message everyone
  1. Template. A starting message. Write your news where it says so.
  2. Insert. Fields that fill in for each diver, like their name and the trip time.
  3. Who gets it. Only divers who agreed to hear from your shop. Read this line before you send.
Says nobody will receive it? Divers who booked online show Awaiting consent until they agree to hear from you, and this message skips them. For news they must get, call them. Closing a slot (step 6) is different: it emails every diver who gave an email.

Bad weather: close the slot

If the trip can't run, choose Close slot at the top of the manifest. Everyone booked is refunded and told why, in one go.

Close Sunday's 8:00 AM? 3 divers are booked. Reason divers will read: Lightning in range, Unsafe water picked, Park closed or Something else. What happens: 1 online booking refunded to its card with $11.85 in booking fees, $329.64, and everyone emailed now with their refund and a rebook link, 2 emails. Keep it open, or Close slot and refund $329.64
Manifest › Close slot
  1. Reason divers will read. Goes in the email. Something else lets you write your own.
  2. What happens. The refunds, booking fees included, and how many emails go out.
  3. Close slot and refund. Does it. Keep it open changes nothing.

The slot stays on the trip, marked closed, with the refunds on their way. Nobody can book it again.

The closed slot: Closed, Unsafe water, closed by the owner, 1 online booking refunded to its card. Refunds: Sam Okafor, 3 seats, $329.64, On its way. Every seat marked Cancelled, refund to the card
Trip › Departure, closed
  1. Closed. The reason, who closed it and when.
  2. On its way. The refund was sent to the card. It takes 5 to 10 business days to show.
